Vacancy: Legal Secretary

The Law Society of Namibia (LSN) is a self-regulating body established in terms of the Legal Practitioners Act, 1995, that serves the profession and the public by promoting justice, protecting the independence of the judiciary, and upholding the Rule of Law.

The LSN invites applications from suitably qualified and experienced individuals for the position of Legal Secretary. The successful candidate will support the Director and Manager: Regulatory & Compliance in managing internal and external relationships across the Society's key functional areas.

1 Secretariat, Administrative & Office Support
  • Prepare Council meeting agendas and information packs.
  • Take accurate minutes during Council and committee meetings.
  • Prepare minutes and reports following meetings.
  • Maintain accurate records of Council resolutions and decisions.
  • Coordinate correspondence between the Council, committees and external stakeholders.
  • Ensure proper filing and archiving of governance and compliance documents.
  • Manage diaries, schedule appointments and organise meetings and workshops.
  • Handle incoming and outgoing correspondence, both physical and electronic.
2 Legal & Regulatory Administration
  • Prepare and format official legal correspondence, notices and circulars, and follow up on communications to the Council, legal practitioners and stakeholders.
  • Assist with processing applications — admissions, renewals and registrations — in compliance with the Legal Practitioners Act.
  • Maintain registers of legal practitioners, law firms and stakeholders.
3 Client & Stakeholder Liaison
  • Act as first point of contact for members of the legal profession and the public.
  • Respond to general enquiries and refer complex matters to the relevant departments.
  • Liaise with regulatory bodies, courts and other partner institutions.
4 Record & Information Management
  • Maintain confidential member and case files in line with confidentiality policies and standards.
  • Organise and update databases to ensure information accuracy and accessibility.
  • Assist in compiling annual reports and official publications.
Requirements

Requirements

  • Must be a Namibian citizen.
  • Minimum of 5 years' secretarial and Board experience in minute-taking and/or corporate governance.
  • Advanced proficiency in Word, Excel and PowerPoint.
  • Certificate in Advanced Minute Taking / Report Writing or a similar qualification.
  • Must hold a valid driver's licence.

Marketing, Branding and Communications Coordinator

Reports toDirector and Manager – Regulatory & Compliance

This position supports and reports to the Director and Manager: Regulatory & Compliance in achieving, inter alia, the primary management of internal and external relationships across the following segments.

The Coordinator will also assist the Director with a marketing and communications strategy aligned with the LSN's mandate and strategic plan.

1 Branding and Corporate Identity
  • Design and update branding materials including templates, letterheads, presentations, signage, and promotional items.
  • Ensure consistent application of the LSN's brand across all communication platforms, publications, events, and correspondence.
  • Liaise with printers and suppliers for the production of high-quality branded materials within approved budgets.
2 Digital Communications and Social Media
  • Manage and maintain the LSN's official website, ensuring content is accurate, current, and reflective of the Society's activities and services.
  • Oversee the LSN's social media presence across all platforms, developing a content calendar and ensuring timely, professional, and relevant engagement.
  • Create and curate digital content — including articles, infographics, videos, and announcements — to inform and engage members and the public.
  • Monitor digital analytics and produce regular reports on website traffic, social media engagement, and audience growth.
  • Ensure digital communications comply with applicable laws, including data protection and privacy requirements under Namibian law.
3 Publications and Content Development
  • Assist in planning, writing, editing, and distributing the LSN's newsletters, bulletins, annual reports, and other publications.
  • Maintain a repository of LSN publications, press releases, speeches, and archival communications materials.
4 Media Relations and Public Affairs
  • Establish, nurture, and maintain professional relationships with print, broadcast, and online media outlets across Namibia.
  • Draft and distribute press releases, media statements, and official announcements on behalf of the LSN.
  • Monitor media coverage of the LSN and the legal profession, and prepare media monitoring reports for the Director's review.
5 Events and Stakeholder Engagement
  • Organise and market all LSN events.
  • Collaborate with the Director, Council members, and the Disciplinary Committee to communicate information about professional standards, ethical obligations, and complaint procedures to members and the public.
  • Maintain a stakeholder register and liaise with the Director to implement a structured engagement plan for stakeholders.
Requirements

Requirements

  • The applicant must be a Namibian citizen.
  • Bachelor's degree in Marketing, Communications, Public Relations, Media Studies, or a closely related field from a recognised institution.
  • Professional certification in Digital Marketing, Social Media Management, Graphic Design, or Project Management will be advantageous.
  • A minimum of three (3) years of professional experience in marketing, communications, or branding.
  • Experience managing digital communications platforms, including websites and social media channels.
  • The applicant must be in possession of a valid driver's licence.
